Shooting, Hunting & Outdoors Tasmania, referred to in this policy as "SHO Tasmania", "SHOT", "we", "us" or "our", respects the privacy of the people who support, contact and interact with our organisation.

This policy explains how we collect, hold, use and disclose personal information through the SHOT website, including our mailing list, contact forms, campaign tools and Letter Writing Centre.

We are committed to handling personal information responsibly and, where applicable, in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

2. What personal information we may collect

The information we collect depends on how you use the website.

Your club, business, association or organisation.
The type of supporter you identify as, such as a licensed firearm owner, hunter, sporting shooter, farmer, landholder, dealer, industry representative, collector, club volunteer or outdoor recreation supporter.

Your consent or refusal to allow information to be shared with approved campaign partners.

Depending on how our campaign tools are used, some information may reveal or allow an inference to be made about a person's political opinions, advocacy interests or involvement in shooting, hunting, farming or outdoor recreation. We treat this information carefully and only collect it where it is reasonably necessary for our activities and the person has provided the required consent.

Complete the Letter Writing Centre supporter details.

Email, telephone or otherwise communicate with us.
Give permission for an organisation or campaign partner to provide information to us.
Interact with website features that record campaign activity or technical information.

Some technical information may be collected automatically when you use protected form endpoints, including your IP address and browser user agent, so we can apply rate limits, reduce abuse and maintain campaign integrity.

We may also receive personal information from campaign partners or supporting organisations where you have consented to that disclosure or where it is otherwise lawful.

Personal details are not publicly displayed through campaign totals, participation statistics or supporter reports. Public reporting uses aggregated or de-identified information.

5. The Letter Writing Centre

The Letter Writing Centre helps users prepare correspondence to elected representatives.

Information entered into the Letter Writing Centre may be used to:

Personalise a draft letter.
Match a user with appropriate representatives.
Record campaign participation.
Understand which issues and representatives are receiving community attention.
Maintain campaign integrity and prevent abuse.
Coordinate campaign activity where the user has provided the relevant consent.

The content of your draft letter is generated and edited within your browser and is not stored by SHO Tasmania. Campaign participation details may still be recorded when you save your details, continue through the workflow or confirm an action.

The Letter Writing Centre may open your own email application or provide content you can copy, print or send. SHO Tasmania does not control your email provider or the elected representative who receives your correspondence.

6. Mailing-list and campaign communications

We will only send campaign updates and similar electronic communications where you have consented to receive them or where another lawful basis applies.

Every campaign mailing should provide a clear and functional way to unsubscribe.

You may unsubscribe by:

Using the unsubscribe option included in an email.
Contacting us at shotasmania@gmail.com.

Unsubscribing from campaign updates does not automatically require SHO Tasmania to delete records that must reasonably be retained for campaign integrity, legal compliance, suppression-list management or administrative purposes.

Marketing or campaign-update consent remains separate from the consent required to use the Letter Writing Centre. We do not automatically subscribe people just because they use the Letter Writing Centre or submit a contact enquiry.

SHO Tasmania may work with supporting organisations and national campaign partners involved in lawful firearms policy advocacy, community engagement and campaign coordination.

We only share identifiable personal information with campaign partners where:

You have given separate and express consent.
The disclosure is within the scope explained when consent was obtained.
The disclosure is required or authorised by law.
The disclosure is reasonably necessary to address a serious security, safety or legal matter.

Partner-sharing consent is optional, separate from mailing-list consent, and not required to use the Letter Writing Centre.

We may share de-identified or aggregated campaign information without identifying individual supporters.

We do not sell or rent supporter information.

8. Other disclosures of personal information

We may disclose personal information to:

Contractors and service providers that help us operate the website.
Website hosting, database, authentication and technical-support providers used to run SHOT systems.
Professional advisers where reasonably necessary.
Approved campaign partners where you have provided separate consent.
Government agencies, regulators, courts, law-enforcement bodies or other parties where required or authorised by law.
A successor organisation if SHO Tasmania operations or campaign systems are transferred, subject to appropriate privacy protections.

Where you choose to send a letter or email to an elected representative, that disclosure is directed by you. The representative and your email provider handle the information under their own practices and policies.

9. Overseas storage and processing

Some of our service providers may store or process information in countries outside Australia or allow overseas personnel to provide technical support.

Where this occurs, we take reasonable steps appropriate to our circumstances to ensure that personal information is handled responsibly. Privacy protections in another country may differ from those available in Australia.

10. Cookies, analytics and technical information

The website may use cookies, browser storage or similar technologies that are necessary to:

Protect forms and campaign tools from abuse.

At the time of this update, the public SHOT pages do not include non-essential advertising pixels or behavioural tracking scripts. External websites, social-media platforms and email providers may set their own cookies when you follow a link away from the SHOT website.

We take reasonable administrative, technical and organisational measures to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure.

No internet transmission or storage system can be guaranteed to be completely secure.

We are not responsible for the privacy practices or content of external websites. You should review the privacy information provided by those organisations.

We may update this Privacy Policy when our website, campaign tools, service providers or information-handling practices change.

The current version will be published on this page with an updated "Last updated" date.

Material changes should also be communicated through an appropriate website notice or supporter communication where reasonably necessary.
